Frequently Asked Questions
Here are the most common questions couples ask about wedding day coordination. If you don’t see what you need, reach out — we’re happy to help.
What does a day of wedding coordinator do?
A day of wedding coordinator manages the logistics, timeline, vendors, and overall flow of your wedding day so you can relax and enjoy your celebration. Instead of handling questions or problems yourself, you have a professional overseeing the details behind the scenes and keeping everything running smoothly.
When do you start working with couples?
Our coordination services begin 4–6 weeks before the wedding. This allows time to review details, finalize the wedding day timeline, confirm vendors, and prepare fully for the rehearsal and wedding day so everything runs smoothly.
What’s the difference between a wedding planner and a day of coordinator?
A wedding planner is involved in planning and design from the beginning, helping with vendor selection, budgeting, and overall vision. A day of wedding coordinator focuses on executing the plans you’ve already made, managing logistics, transitions, and communication so your wedding day runs smoothly without you having to manage it.
Do you create the wedding day timeline?
Yes. We create a custom, detailed wedding day timeline that outlines vendor arrivals, ceremony cues, photography flow, reception transitions, and key moments throughout the day. The finalized timeline is shared with vendors so everyone is aligned and the day flows smoothly.
Do you contact and manage vendors?
Yes. We take over as the primary point of contact for vendors during the final weeks leading up to the wedding and on the wedding day. This ensures vendors know where to be, when to arrive, and who to communicate with — so questions and decisions don’t fall on the couple.
How many hours are included on the wedding day?
Full Wedding Day Coordination includes up to 10 hours of on-site wedding day coverage. Coverage beyond the included hours is available at $125 per additional hour, subject to availability.
Do you attend and run the wedding rehearsal?
Yes. Rehearsal coordination is included for up to one hour. We guide the wedding party through ceremony flow, timing, and cues so everyone feels confident and prepared for the wedding day.
Do you set up décor or provide design services?
We assist with the placement of client-provided personal décor items, such as welcome tables, signage, guest books, card boxes, favors, and ceremony details. Design decisions, styling, or aesthetic direction are not included; all décor and design choices are provided by the couple or their hired vendors.
Do you stay for teardown or breakdown?
No. Vendors are responsible for the breakdown of their own items. Personal items should be assigned to a designated person at the end of the event. Our role is to manage the event flow and logistics — not physical teardown or load-out.
Do you offer day of coordination only?
In some cases, we offer Select Day Of Support for weddings that require a shorter coordination window. This option includes up to four hours of on-site coordination on the wedding day and is offered on a limited, case-by-case basis, depending on scope and availability.
How do we get started?
The first step is to schedule a complimentary consultation. This allows us to confirm availability, learn more about your wedding, and determine whether day of coordination is the right fit for your needs.
What is required to book and reserve our wedding date?
A signed contract and a non-refundable retainer are required to reserve your wedding date. We recommend booking as soon as your date and venue are confirmed, as availability is limited and we take on a select number of weddings to provide focused, high-quality service.
